PMCPOA Office Reminder


Blue cards, green cards, pink and orange cards, silver, tan, and white cards.  What you need to know now to prepare for this 2024-25 fiscal year.  The PMCPOA membership cards current policy and procedures may seem a bit daunting or down-right confusing to some, but hopefully this article will shed some light on the subject and answer questions you may have.  For those members that come visiting periodically and do not use the amenities all that much, if at all, the membership cards may be viewed as insignificant.  That is, at least, not until they or one of their visiting family members or guests want to take a dip in the pool or relax in the jacuzzi.  They then find out that the sticker on the back of their member card didn’t get updated, or they forgot to request this year’s Guest cards, or they never requested and obtained a Pool Gate Key card.  


Then they are met with an innocent Pool Attendant, trying to do their job, and requesting that they go to the Business Office (during business hours) or Pro Shop to rectify the matter.


Should either of these be closed, or if they need a Pool Gate Key card to be issued to them, they have set themselves up for disappointment.  And, for their guests, quite possibly a ruined vacation and/or subsequent bad review left for their short-term rental.


The following is the 411 on PMCPOA’s Membership cards (Member & Guest) and Pool Gate Key cards.  


1. “Member Cards” (silver or tan (if older)) are to be used only by the person named on the card.  A member should not allow their guests to use their Member card.  Should it be discovered to the contrary, the Member card will be confiscated from the guest, the member will be informed of the occurrence, and the incident will be noted on the member’s account.  Member cards are to be updated with new annual stickers each year once the member’s Annual Assessment has been paid in full on every property that that member owns.  It is the member’s responsibility to request their sticker(s) and Guest cards.  The Association will not mail stickers or Guest cards automatically.  If you currently have an older-issued tan colored Member card, you may exchange it for the updated silver Member card at no charge.  Current Member cards with the 23-24 sticker applied are valid through Sept. 15, 2024.  The Member card itself does not expire, but you will need to obtain the new 24-25 sticker, by that date, to update your member card and make it valid until Sept. 15, 2025.  To save on postage, stickers and Guest cards will be mailed together, if you request Guest cards. 


2. “Guest” cards issued for the 23-24 fiscal year are pink and expire on Sept. 15, 2024.  If you currently possess pink Guest cards, the new 24-25 (gold) Guest cards will not be available to you until the pink cards expire.  You may, however, exchange the pink cards in your possession for the new gold Guest cards by bringing or mailing them to the Business office. You may request the new gold 24-25 Guest cards anytime by phoning the Business Office during business hours or by coming to the office and filling out the request form.  If you call in your card request and you get sent to voicemail, do leave a message and be sure to leave your account number or property address, the number of cards you require (six max.), and whether you want to pick them up or have the cards mailed to you.  If you want to pick them up, please leave a call back number, and we will call you when your cards are ready.  You may also email adminclerk@pmcpoa.com to request your cards; please provide the same information as stated above.  Card requests are processed in the order they are received.  Please be aware that the number of card requests received at this time of year are extensive and we appreciate your patience.  Every effort will be made to provide you with your requested Guest cards in a timely manner. 

a) If your property is registered as a Short-Term Rental (STR), your Guest cards will state “STR/Guest”.  We will not issue generic cards for a registered STR property.  Any guests using “STR/Guest” cards will be required to pay the pool usage fee.  STR properties are to adhere to the same six (6) Guest card maximum rule that all other properties in the Association are to abide by.  Please inform your guests that if there are more than six guests that are nine years and older, they will need to share the Guest cards.  This means that only six guests nine and older will be given access to the pool at one time.  The exception to this is if the member owns more than one property and chooses to use Guest cards from their other property for their STR property, in which case those Guest cards will also state “STR/Guest.”

Future Assessment packet mailings will include a Guest Card/Member Card Stickers Request form that can easily be mailed back to PMCPOA with your assessment payment, to speed up receiving your cards/stickers (preferred method).


3. Pool Gate Key cards are white and are required to open the gate to access the pool and jacuzzi.  Pool Gate Key cards are issued by the Business Office, Monday-Friday, 8:00am-5:00pm, when we have received the completed and signed request form. These key cards do not expire and are good for as long as the member owns the property.  They are programmed specifically for the property they are being issued to and only two Poolkey cards will be issued per lot.  We cannot issue temporary Pool Gate Key cards.  If any Pool card is lost, taken by a guest, stolen, or damaged, the replacement cost is $100 per card.  The Business Office should be contacted immediately when it is known that a pool card is missing, so that that specific card can be deactivated.  Should the lost card be replaced, and the replacement cost of $100 be paid, and later the lost card is found, the replacement cost will not be refunded.  All Pool cards issued will be required to be picked up in person and signed for, either by the member or their designated representative (which could be an STR guest, family member, friend, property manager, or housekeeper). 


4. Upon the sale of a specific property, ALL cards related to that property are to be surrendered to the Business Office.  They can be placed in the drop-box on the front porch of the Clubhouse or mailed.  No need to write a note, we’ll know what to do with them.
